Import users from a file

Instead of adding users one by one, you can bulk-import them from a CSV file. Open the dialog with the Upload users button in the Users page toolbar (on a phone or narrow window it is in the round + action menu). You need Users: Manage. This file-based import exists for users only — products and treatments are instead copied from another organisation in your group (see the last section).

1. Prepare the file

The file needs one row per user under these column headings:

ColumnRule
FirstNameRequired.
LastNameRequired.
EmailRequired, must be a valid email address. It becomes the person's sign-in name.
DialCodeRequired, a whole number without the plus sign, for example 41.
MobileRequired, digits only — no spaces, plus sign or other characters.
TagsOptional; several tags are separated by commas within the cell.
CalendarResourceOptional. 1 asks for the Calendar resource role, which go flow keeps only if you hold that role yourself. It does not create a resource and gives no access to a calendar.

The dialog's Download template button downloads a ready-made starting file with exactly these column headings and one blank row — fill in one row per user and save it as CSV.

The instructions shown in the dialog call the file an Excel template, say that all fields are mandatory and that CalendarResource set to 1 creates a resource record. In the current version Tags and CalendarResource may be empty and no resource is created; set up the person's calendar under Configurations > Resources if they need one.

Import only people who are not yet users of your organisation: a row with the email address of an existing user resets that user to Created (Invitation revoked if their invitation was pending). Their rights stay as they were, unless the row sets CalendarResource to 1: then their rights in this organisation are replaced by the Calendar resource role.

2. Upload the file

Click Upload user list and select your CSV file. Every row is checked before anything is imported.

3. Review the result

The import is all-or-nothing. If a row is invalid, the upload stops at the first problem, reports which line failed and why (for example "Upload failed - missing first name, line: 3"), and imports nothing — correct the file and upload it again. Line numbers count the heading row as line 1. An empty file reports "Upload failed - no data".

Once every row passes, all users are created together with status Created and no rights. The success message ends with "will be persisted on 'Organisation' Save"; you do not need to save anything else — the users are saved straight away and appear in the list.

4. Set rights, then invite

Imported users are not invited automatically, and they have no rights. For each person:

  1. Open the user with the eye icon.
  2. Check the Mobile field: if the country code is not right, choose it again; if Save stays disabled, retype the number.
  3. Set the rights (see User details) and save.

Then send the invitations from the Users page (see Send invitations).

Importing products and treatments

Products and treatments are not imported from a file. This action only appears if your organisation belongs to a group of more than one organisation, and it needs Configuration & settings: Manage. On the Products page toolbar it is the Import products from another organisation button; on the Treatments page it is Import from another organisation. Either one opens a small dialog titled Import from another organisation that asks Please select from which organisation. Choose another organisation of your group and click Import items to copy its items into the current organisation.

The copies are independent: later changes in either organisation do not carry over. Each run copies every item again, so run it once.
