Set up your organisation
This guide walks you through preparing a brand-new go flow organisation for day-to-day work. You will complete your organisation's profile, choose the languages it supports, define the custom fields your team records, switch on the modules you need — including Payments with your VAT rates — and decide whether you keep client records. Work through the steps in order — by the end your organisation will be ready for everyday use.
Open the Organisation page
From the Configurations menu, open Organisation. The page has three tabs — Profile, Fields and Modules — and opens on the Profile tab, where most of your initial setup happens.
Complete the Profile tab
On the Profile tab, fill in your organisation's core details: its Name and Telephone, and upload your Logo. Under Addresses, add one or more addresses — each entry can be edited or deleted from the list. These details may appear on client-facing communications and booking pages, so enter them as you want clients to see them. Use Texts for any organisation-specific wording shown to clients, and Tags to label the organisation for your own filtering. See the Organisation Settings reference for a field-by-field breakdown.
Set the supported Languages
Still on the Profile tab, the Attributes table holds your organisation-wide settings, including Languages. The languages you choose control the interface language options available to your users and the languages used on booking templates and client communications. Pick every language you expect to serve clients in, so the right options are available later.
Define custom Fields
Open the Fields tab to shape the records your team works with. A selector switches between the three record types — Client, Journal and Appointment — and each list defines the fields shown when your team edits that kind of record. If you plan to capture anything beyond the standard contact details, such as consent flags or intake questions, set those fields up here before you start adding clients.
Switch on the modules you need
Open the Modules tab to switch on the features your organisation will use. Each feature has its own switch: Record client data, Payments, Wallets, Vouchers, Products, Feedback forms, Treatments, Sessions, Aggregate resources, Emails, SMS, Video, Waitlist, Weather and Water temperature.
Some modules depend on Payments: while Payments is off, Wallets, Vouchers and Products are locked and show a Requires payments hint. Turn on Payments first if you plan to use those features.
When a module has settings of its own, they appear directly beneath its switch. Payments reveals a Payment provider row. In this release Saferpay is the only fully integrated provider, so select it — then select the pencil icon next to it to open a dialog and enter its credentials (Saferpay's Customer ID, Terminal ID, API username, API password and URL). The list also includes Stripe, Datatrans, Wallee / PostFinance and Adyen, but these are not yet connected to checkout, so selecting one will stop payments from completing. SMS reveals the Twilio SMS credentials, and Video the Twilio Video credentials — enter these when you connect text messages or video sessions.
Define your VAT Rates
The VAT rates setting sits in the settings table under the Payments switch on the Modules tab, and is shown while Payments is on. Once defined, these rates become available when you set prices for treatments, products, and other billable items, so it is worth getting them in place before you start pricing your catalogue.
Turn on Record client data
If you keep client records, make sure the Record client data switch at the top of the Modules tab is on. With it on, the Clients and Journal menus appear, giving you access to the Clients list and the Journal activity history. If your organisation does not keep client records, you can leave this switch off and those menus stay hidden.
Save your changes
When you have finished, use the Save button in the top bar to store everything. If you try to leave the page with unsaved edits, an unsaved-changes guard prompts you so you do not lose your work — save before you navigate away.
Your organisation is now ready for day-to-day work. From here you can move on to setting up your resources, treatments, and users.
