Email signature

The signature is the sign-off below the message body of your emails, above the footer — for example a closing line with your team's name. You create and edit signatures on Configurations > Templates, tab Branding: click + and choose Signature for a new one, or open an existing row with its eye icon or a double-click. The dialog's title bar reads Signature template.

Changing a signature needs Configuration & settings at Manage in your user rights. Without it the dialog opens read-only and its toolbar (help, delete and save) is hidden.

How a signature reaches your emails

go flow adds the signature when it sends each email, between the body and the footer. It uses the signature chosen in the email template's Signature field (see Email template) if that signature still exists. If the field is none, or the signature has since been deleted, the email goes out without a signature: go flow does not substitute your default signature or a signature of its own.

  • When you save a change to a signature, every email that uses it carries the new text from then on, including messages already waiting to go out. Your email templates need no new save. Emails already sent are not changed.
  • Signatures go on emails only, not on SMS or documents.
  • The Emails page shows the body of each message without its signature.

Default signature

The Default column on the Branding tab marks your organisation's default signature with a star; click Set as default on another signature's row to replace it. This takes effect at once, without a further save. A new organisation starts with a signature copied from go flow's standard set as its default.

The default only preselects the Signature field of an email template your organisation has never saved; sending never uses it. A saved template keeps the signature it names, or none, when the default changes, so to change the signature of all your emails, edit the signature you already use. More on defaults: Email header.

Name

Name identifies the signature in the Branding list and in the Signature field of email templates. It is required and takes up to 50 characters.

Signature text

A row of tabs shows your organisation's languages, for example EN and DE. Each tab has its own Signature box, so you can write a different sign-off per language; switching tabs keeps what you typed in the others. Line breaks are kept.

  • An email in a language whose tab is empty when you save goes out without a signature: go flow does not use the default language's signature in its place. Write the signature in every language.
  • Placeholders are not filled in here. Write the actual text: {{clientFirstName}} typed into a signature arrives in the email exactly as typed.
  • This dialog has no preview. The preview in the Email template dialog shows the signature in place.

Saving and deleting

Save stays disabled until you have changed something and the signature has a name. Closing the dialog with the X or Esc asks before discarding unsaved changes.

To delete a saved signature, click Mark for deletion (the trash icon). The form is locked, the language tabs are disabled and a banner reads "Marked for deletion — this item will be deleted when you save. Close or press Esc to cancel the deletion." Click Save to delete the signature; click the icon again, or close the dialog, to cancel. Emails whose template chose this signature then go out without a signature until you choose another one in those templates.
