Templates
The Templates page, Configurations > Templates, gathers the reusable configuration for your organisation. It has four tabs: Bookings, Branding, Messages and Fields. You need the Configuration & settings right to open it; with View you can look at everything, with Manage you also get the + buttons and can save in the editors.
The search field at the top filters the Messages and Fields tabs. On the Bookings and Branding tabs it currently has no effect; those lists are short enough to scan.
Bookings
Each booking template is one booking site: an address customers open, the offers it lists, the questions it asks at checkout and its look. Each row shows:
| Column | What it shows |
|---|---|
| Online | The template's online switch. The booking site does not check it in the current release, so an offline template's address still opens; see Edit a booking template. |
| Name | The template name. |
| Scope | Booking templates carry no scope of their own, so this column stays empty. Whether customers can book in person, by video or both follows each treatment's Appointment types together with those of the resource's availability rules. |
| URL | The public address customers use; click it to open the booking site in a new tab. |
Use the + button (Add template) to create a template, and open a row by double-clicking it or with the eye icon (Details) to edit it in the booking template editor. New to online booking? Start with Set up online booking; Get ready to take bookings lists everything that must be in place first.
Which template to use
Most organisations need one booking template. Create another only for a booking site with a different address, offer or look, for example one per location. Keep in mind that emails sent by the system and from the dashboard, and the sign-in code length, take their settings from one template of the organisation; give all templates of one organisation the same Booking email, Reservation timeout, Waitlist promotion timeout (min) and OTP code length.
A private or corporate class needs no template of its own. The session controls who can book it, and the dashboard builds its direct link and QR code from your organisation's booking template — with several templates, from one of them, so check the address in the QR dialog before you share it. See Run a group or corporate class.
Branding
The Branding tab holds the building blocks for your emails: Header, Footer and Signature templates. Use the + button and pick the block type to create a new one. The columns show the Type, the Name and the Default.
The Default column marks one block of each type as your organisation default with a star; click Set as default on another row to change it. When an email is sent, go flow adds the header, footer and signature chosen in that email's template; a block set to none, or one that no longer exists, is left out. The default only preselects the blocks of an email template your organisation has never saved. A change to a block reaches every email sent afterwards — no email template needs to be saved again. See Message templates.
Messages
The Messages tab lists the templates behind your outgoing communications. Each message type has a row even before you have saved your own version, so you can open it and start from the standard wording:
- Email templates — one for each automatic email (confirmation, reminders, cancellation and so on), plus the ad-hoc email used for manual messages. The waitlist promotion email is listed only while the waitlist module is on.
- SMS templates — the SMS reminders, listed only when the SMS module is on and your organisation's SMS credentials are complete.
- Document templates — the Receipt and Credit note (only with the payments module) and the Voucher card (only with the vouchers module), plus documents you upload with the + button (Add document) and attach to the booking confirmation email.
See Message templates, Email template and Document template.
Fields
The Fields tab manages the custom fields captured on clients, journals and appointments. Choose the entity with the selector at the top (Client, Journal or Appointment) to see its fields.
Common settings can be changed directly in the list; each checkbox saves as soon as you tick or untick it:
| Column | What it controls |
|---|---|
| Required | An answer must be given at checkout and when a group member registers. The customer's profile does not enforce it. |
| Sensitive | Answers are stored in the protected part of the client record. |
| Self managed | The booking site receives the field — without it the field is never asked at checkout or shown in the profile (process fields are always received). Clients may also change their answer in their profile. |
| Show in profile | The field appears in the client's profile on the booking site — only for a field the booking site receives (Self managed, or a process field). |
| Searchable | The dashboard's client search includes the field. |
| Show in table | The field is a column of the client list. |
Some checkboxes are disabled while the field's reads are logged. Calculated client fields show only Show in table. Drag rows by the handle to change the display order — the new order is saved when you drop the row. Use the + button to add a field (its tooltip reads Add template), or open a row to edit everything else. Which of these fields customers complete at checkout is chosen per booking template on its Fields tab. See Template fields for every setting.
