Journal

The journal is a chronological record of client-related activity across your organisation — bookings, the records go flow writes for agreements and follow-ups, orders, payments, wallet movements, vouchers, and feedback. Use it to trace what happened and to leave notes on money records. It does not show statuses, so confirm a booking or a payment on its own page before you act on it.

Overview

Open Journal in the menu; it needs Clients at View. Events are listed newest first, 25 to a page. Each row shows an icon for the event type, the date and time, the client, a description, and — where money is involved — an amount. Small tag and note icons at the end of a row indicate that tags or internal notes have been saved on that entry. The Columns button in the last header cell adds the columns Created, Created by, Changed and Changed by. The page reads live data from the server, so it is only available while you are online; offline it shows "You need to be online to view this page."

Event Types

Each entry carries an icon showing its type:

IconEntryWhat it isDatedDescription
CalendarBookingA client's place in a session or appointment — every place, whatever its status: cancelled places, waitlist places and expired reservations are listed too.Start of the session or appointmentResource or session name and the number of places
NotebookJournal recordA record go flow writes; staff cannot add one (see below). When it was recordedIts journal type
CartOrderAn order, paid or unpaid.Payment date, or creation for an unpaid orderOrder reference; the order total as amount
CardPaymentA payment transaction, whatever its outcome.Capture, else authorisation, else creationPayment method and provider; amount
WalletWalletA credit or debit on the client's wallet. When recordedWallet event type; credit or debit
TicketVoucherA voucher held by the client.Valid from, else creationVoucher code and name; original value

A booking or payment row looks the same whatever its outcome. Before you promise or collect anything, check the booking in the session's participants and the payment on Payments or Orders.

Journal records

go flow writes three kinds of journal record:

Journal typeWritten when
The Journal type of a consent or process field, for example marketing_consentThe client answers a consent for the first time or changes it, or signs a process field that had no valid signature (see Template fields). The entry does not say whether the client agreed or declined; the client record shows the current answer and its date.
email_changeThe client changes their email address in their profile on the customer site.
feedback-followupA colleague marks a feedback response handled and writes a Follow-up note (see Feedback responses) — only for a response that is not anonymous and comes from a known client. The entry is dated at the response's submission. The note text is not shown here; it is kept with the entry and included in the client's data subject export.

There is no button to add a journal record or a free-standing note. Notes go on order, payment and wallet entries (see Tags and Internal Notes); a standing fact about a client belongs in a staff-only client field.

The Amount Column

Where an entry has a credit or debit value, it appears as a credit in green with a plus sign or a debit in red with a minus sign. Other money events show the amount together with the currency where one is recorded.

Filtering by Month

The date control at the top is a month picker: the list always shows exactly one calendar month, from January five years back up to the current month. To review a different period, pick its month and year. The month is shared with the other monthly pages — Orders, Payments, Wallets, Emails and Analytics open on the month you picked last.

The search field (Find entry) searches your organisation's full history — results are not limited to the month currently on display. It matches the client's name and email address, resource, session and treatment names, journal types, order references, payment methods and providers, wallet event types, voucher codes and names, feedback form names, and the tags on orders and wallet entries. Results update shortly after you stop typing; clear the field to return to the month.

Tags and Internal Notes

Order, payment and wallet entries can carry tags and timestamped internal notes; voucher entries carry tags. Click the expand chevron at the end of such a row, or double-click the row, to open its detail panel; other entry types do not expand. Edit the tags, type a note into Add note and press Enter or the plus button, then click Save in the panel. Each note is stored with the date, time, and the name of the user who wrote it. The panel also shows who created and last changed the record and — when your organisation keeps record history and you hold the Audit log right — a History button for its record history. Saving needs Clients at Manage; without it, the panel is read-only.

Voucher entries keep tags only at present: a note typed on a voucher entry is not saved. Put the note on the related order or payment instead.

Notes for a handover

go flow has no shift log and no notes on the client itself. To hand over an open matter — a promise made to a guest, a payment question — find the related order, payment or wallet entry, add a tag your team agrees on and a note: what happened, what remains to do and who should act. A note alone does not change a booking or refund a payment. See Hand over the day.

Excel Export

The Export to Excel button downloads the rows currently shown as a spreadsheet, with the type, date, client, email address, resource, description, amount, credit, debit and currency. The file is named with the current date, so successive exports do not overwrite each other.
