Products

Products are what customers can buy on your booking site besides sessions and appointments: gift vouchers and wallet top-ups. Open them under Configurations > Products.

Products appear in a single, drag-reorderable list scoped to the organisation you have selected.

Before you start: the Payments and Products modules must be on for the organisation (Configurations > Organisation, Modules tab); without them the menu entry is hidden. Wallet top-ups also need the Wallets module, and gift vouchers the Vouchers module — customers redeem vouchers and you manage them on the Vouchers page only while it is on. Viewing the page needs View access to Configuration & settings; adding, changing or deleting products needs Manage access. Without it, the page and the product dialog open read-only.

What a product can sell

The Category decides what the customer receives once the order is paid. There are exactly two:

CategoryThe customer buysWhat go flow creates after payment
VouchersA gift voucher at a fixed price, or at an amount they choose within your limitsOne voucher per unit bought, each with its own code. Its value is the amount actually paid, its owner (Client) is the buyer, and it stays valid for the organisation's Voucher validity (days), counted from the purchase. The vouchers appear on the Vouchers page and in the buyer's profile, and the order confirmation email lists each one with its code.
WalletsCredit on their own walletA Top-up entry on the buyer's wallet for the amount bought. The credit expires after the organisation's Wallet credit expiry (days), counted from the purchase (0 means it does not expire). See Wallets.

Both validity settings sit under the Vouchers and Wallets modules on the Organisation page. A product has no validity setting of its own in the dashboard.

What products cannot be

go flow sells money value only. Plan these offers accordingly:

  • Class cards and multi-class passes. go flow has no entitlement that counts sessions. The nearest offer is money value: a voucher or a wallet top-up that covers the classes, for example CHF 250 for ten CHF 25 classes. The customer then pays each booking from that balance; go flow does not count classes, and it cannot add bonus value — a voucher or a top-up is always worth what the customer paid.
  • Memberships. There are no recurring fees and no membership status that a product grants. Member prices and early access are promotions restricted to client groups.
  • Merchandise, rentals and other goods. There is no product type for physical goods, stock or shipping. Sell them outside go flow.
  • Sales at the desk. Products are sold online only. The dashboard cannot sell a product or take payment for one, and pay at the desk is never offered for a cart that holds a product. You can issue a voucher on the Vouchers page, but that records no order, payment or receipt in go flow.

Where customers buy products

Every online product of the organisation is offered on all its booking templates; you cannot choose products per template. On the booking site:

  • A Products button (gift icon) appears in the top bar while at least one voucher product is online. It opens the cart with the product list.
  • An empty cart lists the online voucher products first, then the wallet top-ups.
  • With sessions in the cart, the prompt Also add a gift voucher? lists the voucher products.
  • When a customer with sessions in the cart continues to checkout without applying wallet credit, a Top up your balance window lists the wallet top-ups. The customer can tick Do not show again.
  • In the customer's profile, transferring voucher balances to the wallet uses the first online wallet top-up in your list order; its Minimum amount and Maximum amount limit the amount that can be transferred.

Each product card shows the product's first image, its Heading and Description from Texts, and the plus and minus buttons — see Product details. A discount code that is not limited to sessions also reduces product lines in the same cart; a voucher bought that way is worth the amount actually paid.

The product list

The list is a selectable table with one row per product. Each row has a drag handle, a selection checkbox, a position number, an image thumbnail, Category, Name, an Online indicator, Amount type, Gross price, Minimum amount, Maximum amount and Tags. The list shows the stored values: Voucher or ClientWallet for the category, fixed or flexible for the amount type. The Columns button at the end of the header row adds Created, Created by, Changed and Changed by columns; your choice is remembered on this device.

Double-click a row, or click the eye icon at its end, to open the product in the product dialog.

Searching and exporting

Use the search box (Find product) at the top to filter the list as you type. It splits your text on spaces and keeps only products that match every term, so you can narrow the list with several words at once.

To export products:

  1. Tick the checkbox on the rows you want to export.
  2. Click Export to Excel.

Only the selected rows are written to the CSV/Excel file. The button stays disabled until you select at least one row.

Adding a product

To create a product:

  1. Click Add product (the plus icon; on mobile, it sits in the speed-dial).
  2. Fill in the Product and Fields tabs in the fullscreen dialog that opens.

A new product starts offline, with a fixed amount type and the organisation's first VAT rate pre-filled. Save becomes available once you have entered both a Name and a Category and made a change. For a complete walk-through with a worked example, see Create a product.

Online and offline status

Each product has a status switch at the top of the Product tab, labelled Product is online or Product is offline. Online offers the product on the booking site; offline hides it there but keeps it in your list. The list shows this status as a read-only Online checkbox column, so you can see at a glance which products are on sale.

Category, price and amount type

Category offers Wallets and Vouchers only (see What a product can sell). Gross price, VAT rate and Amount type set the price: Fixed sells at the gross price; Flexible lets the customer step through amounts between a Minimum amount and a Maximum amount. Both kinds work for vouchers and for wallet top-ups. The product dialog explains each field and how the customer's plus and minus buttons step through a flexible amount.

Texts, images and tags

The Product tab also holds Texts (the customer-facing Heading, Sub heading and Description per organisation language), Images and Tags. Fill in the Heading: the booking site shows it as the product's title, not the Name. Details are on the Product details page.

Checkout fields

The dialog's second tab, Fields, selects extra checkout fields for the product. The customer answers them once in the checkout form, together with the fields of the sessions and the booking template; the answers are saved on the buyer's client record. See Product details.

Changing or retiring a product

A change applies to purchases from then on. Checkout always prices a product from its current settings, so a new price, amount range or VAT rate is charged at the next checkout — also to a customer who added the product to the cart before your change.

What is already sold does not change:

  • Vouchers already sold keep their own name, code, value and validity. Renaming the product renames only vouchers sold afterwards.
  • Wallet credit already bought stays on the client's wallet until it is spent or expires.
  • Past orders and receipts keep the name and price they were sold with.

Taking a product offline or deleting it removes it from the booking site once the dashboard has synced and the customer's page has loaded the new configuration; a customer who already has it in the cart can still complete that purchase. Vouchers sold from it stay redeemable until their own Valid to date unless you block them on the Vouchers page. If you take your last wallet top-up offline, customers no longer see top-up offers and can no longer transfer voucher balances to their wallet in their profile.

A deleted product leaves the list for good. If you may sell it again, take it offline instead. To see what a voucher product has sold before you change or retire it, search Finance > Vouchers for the product's name: every voucher sold from it carries that name, with its Client, Remaining value and Valid to. Vouchers sold before a rename carry the earlier name, and the list shows only Redeemable vouchers until you add other statuses to the filter. A wallet top-up is recorded on the buyer's wallet as a Top-up entry, not under the product; see Wallets.

Importing products from another organisation

If you belong to more than one organisation and have Manage access to Configuration & settings, you can copy products in from another organisation:

  1. Click Import products from another organisation (the import icon). A dialog titled Import from another organisation opens, listing every non-group organisation other than the current one.
  2. Select the organisation to copy from.
  3. Click Import items.

Every product from that organisation is copied into the current one: each copied product gets a brand-new identity, and its translated texts are copied across as well. Copies keep their online or offline status, so an online product goes on sale in this organisation as soon as the copy has synced. This is a one-way copy, not a live link — the imported products become independent products of the current organisation, and later changes in the source organisation are not reflected.

Drag-and-drop ordering

Drag rows by the handle to arrange products in your preferred order. The new order saves immediately and is the order customers see on the booking site. Reordering is unavailable while a search filter is active — clear the search box first — and in read-only mode.

Deleting a product

To remove an existing product:

  1. Open the product and click the trash icon in the dialog toolbar (tooltip Mark for deletion; not shown for a new, unsaved product).
  2. Click Save to delete the product.

While the product is marked for deletion, a warning banner appears and both tabs are locked. To keep the product instead, click the icon again, or close the dialog — closing cancels the deletion. Read Changing or retiring a product before you delete.
