Bulk-produce vouchers
Produce a batch when you need many vouchers of the same value at once — printed gift cards for the counter, a campaign, or prize vouchers. Every voucher in the batch gets its own unique code; value, validity, status, tags and notes are the same for all of them. You can produce up to 500 vouchers in a single batch. For the field-by-field reference of the dialog, see Produce vouchers (field by field); for the whole voucher life cycle, see Sell and redeem a voucher.
Before you start
- The Vouchers module is on (Configurations > Organisation, Modules tab; it needs the Payments module).
- Under User rights you hold Manage for Clients. Without it the Produce vouchers button is hidden.
- You are online.
- For printable cards, a Voucher card document is uploaded under Configurations > Templates, Messages tab (see Document template). go flow renders each voucher's card when the voucher is produced. A voucher produced while no template existed has no card, and none is made for it later.
- You know the value, the validity and the status the vouchers should start in (see below).
Produce the batch
- Open Finance > Vouchers.
- Click Produce vouchers (the factory icon in the toolbar; on a phone it is in the + menu).
- Fill in # count, Name, Original value, Status, Valid from and Valid to, and add tags and notes if you need them.
- Click Save. The dialog closes and the list reloads.
Expected result: the new vouchers are at the top of the list (newest first), each with its own Voucher code and with Remaining value equal to Original value. All vouchers of one batch show their name in a chip of the same colour.
If the batch does not appear:
- The list shows only Redeemable vouchers by default. A batch produced as Available for sale, Redeemed or Blocked appears once you add that status to the status filter next to the search field.
- If saving fails, the dialog does not close: it keeps your entries and shows "The vouchers could not be produced. Please try again." Search the list for the batch name; if nothing is found, click Save again.
- A # count above 500 is reduced to 500 without a message.
Choose the starting status
- Available for sale — the codes exist but cannot be redeemed: checkout refuses them and they are not shown in any client's profile. Use this for printed cards you sell over the counter, and release each card when it is sold (see below).
- Redeemable (preselected) — every code can be spent at once by whoever has it. Use this for vouchers you hand out directly, such as a campaign or prizes.
- Redeemed and Blocked — refused at checkout; rarely useful for a new batch.
Print the cards
Each voucher row on the Vouchers page has a PDF button that downloads that voucher's card — one PDF per voucher; there is no download for a whole batch. The card is your Voucher card template with three values filled in: the voucher code, the amount (original value and currency) and a QR code. The name, the validity and the notes are not printed, so put the validity on the template text if customers need it. On cards produced in the dashboard the QR code holds the voucher code as plain text, not a link: customers type the code at checkout.
A voucher produced while no Voucher card template existed has no card: its PDF button shows the notice "This voucher has no card. A card is only made while a Voucher card template is uploaded." Uploading the template later does not add a card to it.
For a print shop, Export to Excel downloads the rows the list currently shows (created, client, used by, name, voucher code, original and remaining value, valid to, status). Search for the batch name first, so the list holds just that batch.
Sell a printed card over the counter
go flow has no counter sale: the dashboard cannot take money for a voucher, and Take payment covers session participants only. Take the money in your own till; go flow creates no order or receipt for it. Then release the card:
- On Finance > Vouchers, add Available for sale to the status filter and search for the card's code.
- Tick the voucher (or several), click the Status button in the toolbar and choose Redeemable. The change applies at once, without a confirmation.
- If useful, tag the voucher, for example
sold-at-counter. Notes typed in a voucher's row are not stored, and a counter sale has no order or payment in go flow to note it on, so record who sold it and how it was paid in your own till.
On a phone the Status entry in the + menu does nothing; change statuses on a larger screen. A sold card has no client in go flow, so it appears in nobody's profile; the customer redeems it by entering the code in the cart.
Track a batch
Search for the batch name to list its vouchers. Remaining value shows what is left on each, Used by shows who spent it (hover for the time of the last redemption), and a fully spent voucher turns Redeemed by itself. To see every voucher of the batch, add all statuses to the filter.
What you cannot change later
The value, validity, name, client and code of a produced voucher cannot be edited — only its status and tags (notes on a voucher row are not stored). Double-clicking a row expands it, as its chevron does. To correct a batch, set the wrong vouchers to Blocked and produce a new batch.
