Resource Detail

This screen is where you configure a resource, aggregator or session: its profile, availability, treatments and other settings. It opens in fullscreen and is organised into tabs. The tab set depends on what you are editing:

  • Standard resources: Profile, Availability, Treatments, Fields, Integration and Out-of-office.
  • Aggregators: Profile, Resources and Treatments.
  • Sessions: Profile and Fields.

The Save button in the toolbar stays disabled until something has changed, the name is filled in and the slug is valid.

Profile

The Profile tab holds the identity and general settings:

  • Status switch — toggles the item between online (published and bookable) and offline (hidden).
  • Title, First name and Last name for standard resources and aggregators; sessions have a single Name field instead. The name is required.
  • Slug — the address fragment used on the booking site. It is suggested automatically from the name whenever the slug is empty, and may only contain letters, digits, hyphens and underscores.
  • Colour — the colour used for this item in the scheduler.
  • Dependencies — the standard resources this item depends on (shown for standard resources and sessions).
  • Texts — the multi-language descriptions shown on the booking site.
  • Images — a profile and a panorama image; sessions can additionally carry a session image and a video image.
  • Attributes — the per-item settings, explained attribute by attribute below.
  • Email notifications — its own control below the attributes: one switch per client-facing email, explained below.
  • Tags — free-form labels used for grouping and searching.
  • Delete item on save — tick this and save to remove an existing item.

Aggregators additionally have a Limit suggestions toggle on this tab: Yes thins the offered start times on the booking site to roughly one per two-hour band across the aggregator's member resources; No offers every available time.

Attribute rows that belong to a module which is switched off for your organisation are hidden (their saved values are kept). The VAT rate row only appears while the Payments module is on and your organisation has VAT rates configured.

Attributes — standard resources

SettingWhat it does
Work day startThe first hour shown in your dashboard scheduler and on the booking site's calendar. A display window only — the actually bookable times come from the Availability tab. Also the lower bound used when Limit suggestions thins the offered times.
Work day endThe last hour of that display window; same role as the start.
Hour incrementHow finely calendar rows subdivide an hour: 1 = 60-minute rows, 2 = 30, 3 = 20, 4 = 15, 6 = 10, 12 = 5-minute rows. Display only. When several resources are shown together the dashboard picks a grid that fits them all; the booking site uses the coarsest resource's grid.
LanguagesInformational: the languages this person speaks, shown in the resources list. Has no effect on bookings or emails.
VAT rateThe VAT rate applied to this resource's order lines. Prices are VAT-inclusive — the rate determines the VAT portion shown on receipts and refund documents, not the price itself. The choices come from the organisation's VAT rates. Payments module only.
Parallel appointmentsHow many appointments may run at the same time on this resource. A start time stops being offered once that many overlapping bookings exist (0 counts as 1).
Same day appointmentOff: clients can no longer book anything for the remainder of the current day — the earliest bookable day becomes tomorrow.
Allow current time slotOn: a slot that has already started may still be booked until it ends. Off (default): only start times in the future are offered.
Limit suggestionsOn: the booking site offers roughly one start time per two-hour band inside the work-day window instead of every available time — fewer, more spread-out suggestions.
Notify resource of bookingsWhether this resource person is emailed when a client books or cancels: No, Yes (times only), or Yes, include client details (adds the client's name and contact details). Sent to the address in Email.
EmailThe resource person's own notification address for the booking/cancellation notifications above. Empty = no notifications.
CC emailsAdditional addresses (comma-separated) CC'd on the resource notifications.
Allow cancellationOn: clients may cancel their bookings themselves on the booking site (and get a cancellation link in their emails). Off: cancellation goes through you.
Cancel timeout (hours)Only shown while Allow cancellation is on: how many hours before the start online cancellation closes. 0 = cancellable right up to the start.
Cancellation fee (%)Percentage of the paid amount retained when a cancelled booking is refunded. Also the pre-filled default when you cancel from the dashboard (you can override it per cancellation). 100 = no refund. Payments module only.
Reservations possibleThe booking horizon in days: how far into the future clients can book this resource.
Presence (minutes before)Fills the "please arrive N minutes early" note in confirmation and reminder emails. 0 = the note is left out. It does not affect booking or check-in.
ConfirmationEmail notifications: booking confirmation to the client. Off on every booked resource of an order = no confirmation email at all.
Reminder — 1 day beforeEmail notifications: reminder emailed the day before the appointment.
Reminder — morning ofEmail notifications: reminder emailed the morning of the appointment.
CancellationEmail notifications: cancellation notice to the client when their booking is cancelled.
No-showEmail notifications: notice sent (end of day) to clients you mark as no-show.
Post-visit follow-upEmail notifications: the feedback/follow-up email after a session visit (needs an active feedback form).
Waitlist — spot availableEmail notifications: notice to a waitlisted client when a spot opens for them. Waitlist promotion itself always runs while the session's waitlist is enabled — this switch only controls the email.
Group member joinedEmail notifications: notice to a group's organiser when another member joins their session. Off by default.
Group member cancelledEmail notifications: notice to the organiser when a joined member cancels. Off by default.

The nine Email notifications switches (from Confirmation down) sit in their own control below the attribute table. Each switches one client-facing email for bookings on this item; the email is also skipped when your organisation has no template for it.

Attributes — sessions

Sessions share the cancellation, horizon, presence and email-notification attributes above, plus their own capacity and pricing settings:

Slot duration (minutes)The default length used when new sessions are scheduled or generated. Changing it later does not resize sessions that already exist.
Min capacityInformational minimum number of participants: the booking site shows "min N participants" and the scheduler flags sessions still below it. Nothing happens automatically.
Slot capacityThe default number of seats when new sessions are generated. Each generated session keeps its own copy, which you can edit per session; the session's own value is what booking enforces.
Slot priceThe VAT-inclusive price per seat, in the organisation's currency, charged at checkout. Payments module only.
Waitlist enabledOn: a full session offers "join waitlist"; freed seats go to the queue and waiting clients are promoted automatically. Waitlist module only.
Allow cancellationAs for standard resources: clients may cancel their session bookings online.
Cancel timeout (hours)Only shown while Allow cancellation is on: hours before the session start until which online cancellation stays open.
Cancellation fee (%)Percentage of the paid amount retained on a refunded cancellation; pre-filled default for dashboard cancellations. Payments module only.
Reservations possibleThe booking horizon in days for this session's slots on the booking site.

Availability (standard resources)

Availability is a table of rules rather than a per-day hours grid. Each rule has checkboxes for the weekdays it covers, a Starts at and Ends at time, an Appointment types scope (Physical, Video or Physical & video) and an Applicable from / to date range. Add rules with the plus button; when there is more than one rule you can delete rows or drag them into a different order. Together the rules determine when the resource can be booked. The resource's overall appointment-type scope follows from the scopes set on its rules.

Treatments (standard resources and aggregators)

Tick the treatments this resource offers. Per treatment you can choose whether the booking site shows its duration (Show duration) and its price (Show price), and drag rows to control their order. The tab also has a Default navigation to first treatment switch.

Resources (aggregators)

An aggregator bundles several standard resources. Tick resources under Available resources to move them to Selected resources, and use the Prio value to control their order.

Fields (standard resources and sessions)

Configure the custom checkout fields collected when this item is booked.

Integration (standard resources)

Connect the resource to an external calendar so appointments stay in sync. See the Microsoft Exchange Calendar and Google Calendar help pages for the provider-specific steps.

Out-of-office (standard resources)

Plan an absence with a Start date and an End date, then turn the switch on — it can only be switched on once an end date is set. Optionally enable Display message and enter a Message (up to 200 characters) to show during the absence.
