Generate sessions (field by field)

This full-screen dialog, opened with Generate in the Scheduler, creates a batch of session appointments from a weekly schedule for the week shown in the scheduler, and lets you manage the session appointments that already exist in that week. For a task-oriented walkthrough, see Generate sessions; for the weekly routine, see Plan the weekly timetable.

Choosing the session

FieldWhat it does
SessionPicks which session the new appointments belong to, from the sessions linked to the calendars selected in the scheduler. Pre-filled and locked if there is only one. One run generates one session; each slot is created on every selected calendar linked to it.

Visibility & bookability

These settings are stamped onto every appointment you generate. They start at Public, Bookable now and Full details each time the dialog opens.

FieldWhat it does
VisibilityPublic, Hidden, Private or Restricted — who sees the session on the booking site and who may book it. See Session visibility & bookability.
BookabilityBookable now, Not bookable, Bookable from date or Bookable days before — when booking opens.
Bookable from dateShown for Bookable from date: the date booking opens for every generated session, at midnight in your organisation's time zone. Left empty, nobody can book.
Opens this many days beforeShown for Bookable days before: each session opens this many days before its own date. Left empty, nobody can book.
DisplayFull details or Coming soon (masked). The booking site shows a session that opens on a later date as coming soon with its opening date whatever you choose here; the choice currently changes only how the entry is marked in the scheduler.
Eligible groupsShown for Restricted: the member groups that may book. Needs a group membership field set for your organisation; otherwise a hint is shown instead.
Early-access groups and Early-access lead (days)Shown for Restricted with Bookable from date or Bookable days before when the Promotions module is on: each tier lets its groups book that many days before the general opening date. The lead is pre-filled from your organisation's default early-access lead; a tier without groups is ignored. Add early-access tier adds a tier, and a tier's delete icon removes it once more than one exists. This is a separate feature from early-bird pricing — see Session visibility & bookability for the distinction.

Building the schedule

ControlWhat it does
Day boxes (Mo to Su)The weekdays the row runs on. A new row starts with all seven ticked. Only dates within the scheduler's visible week count — in Work week, the days from your organisation's first to its last working day, including closed days in between.
Starts atThe start time, in 5-minute steps; a new row starts at 08:00. The end time follows from the session's Slot duration (minutes).
Add buttonAdds another row, pre-filled to start where the previous one ends.
Delete iconRemoves a row; shown while there is more than one.

Rows whose times overlap on a shared weekday are rejected with Schedule rows have overlapping time ranges when you save. On save, a slot is skipped without a message when a session (planned or active, of any session type) already lies at that time on the same calendar; other appointment types do not block generation. Only sessions the scheduler currently shows are recognised — see Generate sessions.

Existing appointments

If the selected session already has appointments in the visible week, they are listed under Existing appointments:

Column or actionWhat it does
Date, TimeWhen the session takes place.
StatePlanned or Active; a group icon (Has participants) marks a session with any participant record, including cancelled bookings and waitlist entries.
Visibility & bookabilityThe session's current visibility and bookability, with the opening date when it has one.
Apply to selectedReplaces the visibility and bookability settings of the selected rows with the dialog's current settings, including on sessions with bookings; the bookings stay. Closes the dialog.
Delete selectedRemoves the selected rows that have no participant record; the count on the button shows how many. Closes the dialog.

Saving

The save icon is enabled once a session is chosen and at least one schedule row has a day and a start time. Saving creates the appointments as Planned; activate them in the scheduler. Without Configuration & settings set to Manage, the visibility and bookability fields are read-only and the save icon is hidden, so nothing can be generated; the day boxes and start times can still be changed, and the Existing appointments actions (Apply to selected, Delete selected) remain available. Generated sessions and these actions are stored only if you also have Organisation set to Manage or Manage on the calendar's resource; without it the next sync is refused, go flow signs you out and the changes not yet synced on this device are lost — see What each right opens.
