Organisation Settings

The organisation settings page is a three-tab editor for everything specific to one organisation: its public profile, its custom data fields, and its product modules together with their third-party credentials. All three tabs share a single Save button in the top toolbar — your edits across every tab are written together when you save.

Overview

The page opens from Organisation in the menu and edits whichever organisation you currently have selected — when your group is selected, you edit the group itself. A toolbar across the top holds the three tabs — Profile, Fields and Modules — and the green save button on the right. The save button stays disabled until you have an actual change to write, and saving pauses while a synchronisation is running; if you navigate away with unsaved edits, you are asked to confirm before they are discarded.

When a group is being edited, the Modules tab shows only the integration credentials, because module switches are set per organisation rather than on the group.

Profile tab

The Profile tab holds the organisation's core details:

  • Name — required, up to 20 characters.
  • Telephone — entered with a country code.
  • Addresses — the organisation's postal addresses, managed as a small list with add, edit and delete.

For individual (non-group) organisations the Profile tab also shows:

  • Texts — short descriptive texts maintained per supported language.
  • Images — uploads for the logo, profile and pan image types.
  • Attributes — a table of the organisation's general settings, one row per setting — for example the languages your organisation supports, its time zone and its working days. Settings that belong to a specific module do not appear here: they are edited on the Modules tab underneath their module switch (currency and VAT rates, for instance, sit under Payments). This page does not set treatment or product prices. Every row is explained in the attributes reference below.
  • Tags — free-form tags for the organisation.
  • Delete item on save — a checkbox that flags the organisation for deletion when you save. It is shown only when your group has more than one organisation — you cannot mark the last remaining one for deletion.

Fields tab

The Fields tab lets you tailor the custom field definitions for this organisation, one entity at a time. A selector at the top chooses the entity — Client, Journal or Appointment — and the editor below edits that entity's field definitions for the organisation. Switching the selector loads the fields for the chosen entity.

Modules tab

The Modules tab turns product features on and off for this organisation. Directly beneath each switch sit that module's own settings: a small attribute table where the module has settings of its own, and a credentials section where it relies on a third-party service. For a group, only the credential sections are shown.

The switches are:

  • Record client data — independent.
  • Payments — the master switch for billing features. Turning it off also turns off the three dependent modules below.
  • Wallets, Vouchers, Products — these require Payments; while Payments is off they are disabled and show a Requires payments hint.
  • Feedback forms, Treatments, Sessions, Aggregate resources, Emails, SMS, Video, Waitlist, Weather, Water temperature — independent switches, each on or off on its own.

Module-specific settings appear as a small table under their switch while the module is on — for example currency and VAT rates under Payments, voucher validity under Vouchers, wallet credit expiry under Wallets, waitlist settings under Waitlist, location coordinates under Weather and the water-temperature settings under Water temperature. Turning a module off hides its settings and its related pages elsewhere in the dashboard; the stored values are kept and return when the module is switched back on.

Under Payments you instead pick a Payment provider from a dropdown. In this release Saferpay is the only fully integrated provider, so you must select it — select the pencil icon next to it to open a dialog where you enter its credentials (Customer ID, Terminal ID, API username, API password with a show/hide toggle, and URL). The dropdown also lists Stripe, Datatrans, Wallee / PostFinance and Adyen, but these are not yet connected to checkout, so selecting one will stop payments from completing. Clearing the dropdown removes the configured provider. Under SMS sits a credentials section (Account SID, Auth token, Sender and From number — digits only, up to 12); under Video sits another (Account SID, API key and API secret).

When the current organisation is not a group and your group has more than one organisation, a Use group integration settings checkbox appears at the top of the tab — ticking it copies the SMS, video and payment-provider credentials from the group and locks those fields, so all organisations share one set. Saving credential changes on the group passes them on to every organisation that uses the group settings.

Attributes reference

Every organisation attribute, wherever it is edited: the general rows sit in the Attributes table on the Profile tab, the module-gated rows in the small tables under their module's switch on the Modules tab. Rows whose module is switched off are hidden — their saved values are kept and return when the module is switched back on.

General settings (Profile tab)

SettingWhat it does
LanguagesThe languages your organisation works in. They decide which languages you maintain texts and email content in, and which languages the booking site offers to clients.
Default languageThe language used when no better choice is known — for example for a client who has not picked one.
CountryThe organisation's country, picked with the flag selector. Sets the regional formats used for dates, numbers and amounts.
Time zoneThe organisation's time zone. All appointment times, slots and reminder schedules are interpreted in it.
First day of weekWhich weekday calendars start on, in the dashboard scheduler and on the booking site.
First week of year ruleHow week numbers are counted: from the year's first day, from its first four-day week, or from its first full week.
Work daysYour working days, shown as the default working week in the scheduler.
Google locationInformational location text used to build the map link shown in emails and on the booking site.
Reservation timeoutHow many minutes a client's checkout reservation holds its slot before it is released again.
OTP code lengthThe length (3–6 digits) of the one-time code emailed to clients to log in or confirm an email change.
Group membership fieldDesignates the client custom field whose options stand for your member groups. Group-restricted sessions and member early access check the client's value in this field; empty = no group gating anywhere.

Payments

SettingWhat it does
CurrencyThe currency all prices, orders, refunds and documents use.
VAT ratesComma-separated list of VAT rates as decimal fractions (0.081 = 8.1%). These are the choices offered as the VAT rate on resources, sessions and products.
Allowed refund destinationsWhich refund destinations you permit: back to the card via the payment provider, to the client's wallet, or as a voucher. Every refund is checked against this policy; empty = all destinations allowed.

Promotions

SettingWhat it does
Allow discount stackingOn: a promo code typed at checkout may stack on top of an auto-applied early-bird price. Off (default): only the larger of the two discounts applies. Promotions module.
Default early-access lead (minutes)The default head start, in minutes, that members get when you generate early-access sessions — pre-filled into the generate dialog and applied at generation time only. Promotions module.

Vouchers, Wallets and Waitlist

Voucher validity (days)How many days a newly sold or issued voucher stays valid. Vouchers module.
Wallet credit expiry (days)How many days newly added wallet credit stays valid. Wallets module.
Waitlist promotion timeout (min)How many minutes a promoted waitlist client has to claim a freed spot before it is offered to the next in line. Waitlist module.

Weather and water temperature

SettingWhat it does
LatitudeThe site's latitude, used by the weather forecast. Weather module.
LongitudeThe site's longitude, used by the weather forecast. Weather module.
Altitude (m)The site's altitude in metres, read together with the coordinates for the weather forecast. Weather module.
Water temperature sourceWhere the displayed water temperature comes from: auto lets the system pick, pull fetches it from a provider, push accepts values your equipment sends in, and manual uses the manual value below. Water temperature module.
Water temperature (manual)The water temperature in °C shown while the source is set to manual. Water temperature module.

SMS credentials

Appointment-reminder SMS are sent with your own Twilio account, configured under SMS on the Modules tab. All four values must be filled in — with any of them missing, no SMS is sent. These are organisation-level settings; there are no per-resource SMS credentials.

Auth tokenThe Twilio auth token belonging to the account.
SenderThe alphanumeric sender name tried first on each SMS.
From numberThe sender phone number (digits only) used as the fallback when the alphanumeric sender is not accepted.

Video credentials

Credentials for the Video module, entered under Video on the Modules tab — they connect your Twilio Video account for video appointments.

API secretThe secret belonging to the API key.

Saving changes

Every tab feeds the one Save button in the toolbar, so a single save commits all your changes together. The button stays disabled until there is something to save, and turning on Delete item on save (Profile tab) marks the organisation as deleted when you save. If you try to leave the page with unsaved edits, you are prompted to discard them first.
