Set up online booking
This guide shows you how to configure a booking template so clients can book, pay, and confirm an appointment on their own, from an empty template to a customer on your confirmation page. Online booking turns a link or a QR code into a self-service storefront where clients pick a time, pay, and confirm without ever picking up the phone. You shape that storefront by configuring a booking template in the dashboard. Each template publishes one public booking page, and the template's URL code is that page's address. Get a single template right and you have a live booking site.
1. Create a booking template
Open Templates and go to the Bookings tab, which lists every booking page you run — often one per location or service. Click + (Add template) to create a new one; it opens in the full-screen booking template editor. A template needs only a Name before it can be saved, so give it a clear one on the Profile tab. Everything on this tab describes a booking page, which sets it apart from the Branding and Messages templates that share the Templates page — those have no public address of their own.
2. Set the address and publish
Still on the Profile tab, the Slug is the memorable last part of your booking page's web address; the read-only Public URL above it updates as you type. That link is your storefront — <your booking URL>/<slug> — and go flow generates a QR code for it automatically, plus a second QR code for video appointments. If your organisation has more than one location, the Profile tab also shows an Organisation sort order control. Nothing is live, though, until you switch on Online: it reads Template is online when published and Template is offline when hidden. While offline the URL will not open for clients, so leave it off until the rest of the template is ready.
Further down the Profile tab, an Attributes table lets you set a few extra options for this booking page: a Booking email to receive notifications at, a Link to favicon to override the page's browser icon, Booking UI mode to choose between the full calendar view (calendar) or a simpler step-by-step list (simple) for clients, and Express booking, which opens a single Book / Book & Pay sheet that skips the cart, details and summary pages and takes the client straight to payment (or instant confirmation when the booking is free or fully covered by credit).
3. Choose what can be booked
Physical vs. video (or both) is decided per treatment, not on the template: each treatment has its own Appointment types setting (Physical, Video, or Physical + Video) on the Treatments page, and a resource's own scope follows from the treatments assigned to it. Open the template's Resources tab and tick which resources (and, for multi-location or group organisations, which sub-organisations) clients may book under this template. Ticking an organisation includes all of its resources; tick individual ones for a narrower page. Each resource also gets its own direct sub-link, <your booking URL>/<slug>/<resource code>, so you can point clients straight at one person or room. What you select here is exactly what appears in the customer's catalogue — see Resources for setting up the resources themselves.
4. Decide what to ask at checkout
The Fields tab controls which of your client fields are collected when someone checks out on this template. Tick Use field for each one you want and drag rows to set the order. Ask for only what you genuinely need, because every field here is one the customer must complete before they can pay. The fields themselves are defined on the Templates page's Fields tab, covered in Fields.
5. Tailor the wording and look
Two tabs finish the presentation. The Texts tab holds the per-language wording clients read through the flow — Booking texts are always there, while Video and SMS variants appear only when your organisation has those enabled. Back on the Profile tab, you can also upload the confirmation image shown to clients at the end of the flow.
The Theme tab controls the look of the booking page itself. Under Theme Settings, tick which of Light, Dark, and System clients are allowed to use, and pick which of those is the default; a Variant selector sets the button style (Elevated, Flat, Tonal, Outlined, Text, or Plain) and a Rounded selector sets the corner style (None, XS, SM, LG, XL, Pill, or Shaped), with a live preview of sample buttons. Below that, separate Light Theme Colors and Dark Theme Colors sections let you pick the exact colour for each role (primary, secondary, background, surface, and their text colours) in each mode, and an Icons table lets you override individual icons. Reset to Defaults discards your theme changes and restores the standard look. Click Save in the toolbar when you are happy; closing the editor without saving discards your changes.
6. Publish and put it in front of customers
With the template online, share its link or QR code wherever clients find you. You can also attach it from inside the app: on the Scheduler, a new (single) appointment has a Booking template field — an autocomplete over your templates — and choosing one writes that template's URL code onto the appointment, tying that slot to the booking page. Sessions do not have this field.
What your customer sees
When a client opens the link or scans the QR, the storefront loads this template's configuration — theme, languages, and everything bookable. Depending on your Booking UI mode attribute, they arrive at either a full calendar of sessions or a simpler step-by-step list. They pick a session (then a weekly list of its slots) or a resource (then a treatment, then availability, with a physical/video toggle when the treatment's Appointment types allow both). Reserving a slot holds it in a cart — if Express booking is off they use the classic multi-step flow (cart > details > summary > payment), and the cart is where they add further slots or products; if Express booking is on they skip straight from the session to a single Book / Book & Pay step. From the cart they can add products, vouchers, or a wallet top-up. They sign in with their email and a one-time code, fill in the checkout fields you chose, accept the terms, and pay through the payment provider — or complete instantly if credit or a voucher covers the whole amount. Finally they reach your confirmation page, with your image and a receipt or voucher to download. Every step is your configuration in action: Online decides whether they arrive at all, the Resources tab and each treatment's Appointment types decide what is on offer, and the Fields, Texts, and Theme tabs (plus the confirmation image and Attributes on the Profile tab) decide what they are asked and how it all looks.
