Create a resource
A resource is the bookable unit clients actually reserve — a practitioner, a treatment room, or a piece of equipment. Nothing appears on your booking site until it belongs to a resource with a working schedule. This guide walks you from an empty editor to a saved, online resource with a full weekly availability schedule, using a worked example you can follow field by field.
Before you start
- You need Manage for Configuration & settings. With View only, the editor opens read-only.
- Create the treatment the resource will offer first, for example a 45-minute Physiotherapy treatment — see Create a treatment. Without a ticked treatment the resource offers no times.
- Customers choose standard resources only in a booking template whose Booking UI mode is Session picker; see Set up online booking.
- Not sure whether you need a standard resource, an aggregator or a session? Start with Choose the resource type for your business.
Start a new resource
Open Configurations > Resources and click the + (Add) button. It doesn't create anything directly — it opens a small menu asking which kind to make:
- Resources — a standard resource: a person, room, or asset booked for treatments. This is the common case and the one this guide covers.
- Session — a reusable session format such as a class (needs the Sessions module). A session has no Availability tab and no Treatments tab; its dated occurrences are created in Scheduler — see Schedule appointments and generate sessions.
- Aggregator — a single listing that pools several standard resources so a client can book "whoever is free" (needs the Aggregate resources module). Instead of an Availability tab it has a Resources tab where you pick which resources it bundles and their priority order, and its Profile tab adds a Limit suggestions toggle.
Choose Resources to open the full-screen editor on the Profile tab.
Fill in the Profile tab
Give the resource its identity. For our worked example we are adding a physiotherapist:
- Title — optional, e.g.
Dr.(max 50 characters). - First name —
Elena(max 50). - Last name —
Fischer(max 50). This is the only name field that is required — you can't save without it. - Slug — auto-fills to
elena-fischerfrom the name. It's the last part of this resource's direct booking link, so you may want to shorten it toelena. Letters, numbers, hyphens and underscores only. - Colour — pick a colour (default blue) used for this resource's appointments in Scheduler.
Next to the status switch there is also Dependencies. On a standard resource it has no effect; leave it empty for Elena. It is used on sessions, to name the calendar a session is held on.
Below the name row you can add per-language Texts, Images, an Attributes table (booking horizon, parallel appointments, cancellation rules and — when Payments is on — a VAT rate), an Email notifications table of per-message on/off switches, and Tags. Leave these at their defaults for now; Resource details explains each one. Adding pictures is described in Add images and promotional video. At the top of the tab the status switch reads Resource is offline; leave it off while you finish the schedule.
Build the weekly schedule on the Availability tab
Open the Availability tab. It's a grid where each row is one rule: tick the weekdays it applies to (Mo Tu We Th Fr Sa Su), set Starts at and Ends at (times snap to 5-minute steps), choose the Appointment types (Physical, Video, or Physical & video — this column appears only when the Video module is configured for your organisation), and see the Applicable from / to dates. When you open the tab on a new resource, one rule is already there: Mon–Fri, 08:00–17:00, Physical. Adjust it rather than adding a second rule for the same hours.
The Applicable from / to dates are stored but not applied by the booking site in the current version: a rule offers times from the moment you save it until you change or delete it. Leave the dates as they are.
To model a working day with a lunch gap, use two rules for the same days — the gap between them is simply not bookable. For Elena, working weekdays with an hour off at noon:
Rule 1 — morning
- Days: Mo Tu We Th Fr ticked; Sa, Su clear
- Starts at 09:00, Ends at 12:00
- Appointment types: Physical
Click + to add a second rule:
Rule 2 — afternoon
- Days: Mo Tu We Th Fr
- Starts at 13:00, Ends at 17:00
- Appointment types: Physical & video
The result: bookable 09:00–12:00 and 13:00–17:00 on weekdays, with 12:00–13:00 closed. Start times follow the treatment's duration from each rule's start: with the 45-minute treatment, the morning offers 09:00, 09:45, 10:30 and 11:15. The resource's overall scope is taken from the union of its rules. Video times come only from rules that allow video, so with the Video module configured, Rule 2's afternoon can be booked as video. The customer sees a physical/video toggle on Elena's time selection only when the chosen treatment's Appointment types is set to Both. Running the video appointments themselves is described in Run video appointments.
Offer treatments
Open the Treatments tab and tick each treatment this resource performs. For every ticked treatment, the Show duration and Show price checkboxes control whether that treatment's card on the booking site displays its length and cost — for example, show duration on both a massage and a consultation, but show price only on the consultation. Drag to reorder how they list. The Default navigation to first treatment switch at the top of the tab sends clients straight to the first listed treatment instead of showing the full list.
Fields, Integration and Out-of-office
Standard resources also have three tabs this worked example doesn't need but you should know about:
- Fields — a list of client fields with a tick box each. On a standard resource the booking site does not use this selection in the current version; customers booking an appointment are asked the booking template's fields. See Configure checkout fields.
- Integration — stores a Microsoft Exchange mailbox. Calendar synchronisation was retired; nothing is synchronised. See Exchange integration.
- Out-of-office — an Out-of-office is on/off switch plus a Start date and End date stop the resource offering appointment times on those whole days; turn on Display message to show clients a custom message on its time-selection page during that time. Existing bookings in the period stay and are not cancelled.
Save and see it on the booking site
Set the status switch to Resource is online and click Save in the toolbar. Closing without saving discards everything.
To offer the resource, include it in a booking template whose Booking UI mode is Session picker: on the template's Resources tab, tick Elena (a template that had every resource ticked when it was saved includes her automatically). Customers then pick Elena on the template's selection page, choose a treatment and see the times computed from the availability rules you just built — with the lunch hour cleanly absent. Her direct link is the template's booking address followed by /book/ and her slug, for example .../book/elena.
If Elena does not appear or shows no times
Open the template's booking page in a private browser window and check, in this order:
- Elena is online and saved.
- The template's Booking UI mode is Session picker and its Resources tab includes Elena.
- At least one treatment is ticked on her Treatments tab, and that treatment is online.
- Her availability rules cover the weekday shown and each rule is at least as long as the treatment.
- No out-of-office period covers the days shown, the days lie within Reservations possible, and Same day appointment allows today if you are testing today.
Standard resources need no extra module. Sessions require the Sessions module and aggregators require the Aggregate resources module. Price and VAT fields on a resource appear only when the Payments module is enabled for your organisation.
