Create a product

This page shows you how to create a product — something your customers can buy on your booking site besides sessions: a gift voucher or a wallet top-up. Products live on the Products page, and once one is online it is offered in the booking site's cart. This guide walks you through creating one from an empty dialog to a live product, with a worked example: a CHF 100 gift voucher.

Products sell money value only. Class cards that count sessions, memberships and merchandise cannot be products; see What products cannot be for what to use instead.

Before you start

  • The Payments and Products modules are on for your organisation (Configurations > Organisation, Modules tab). For gift vouchers the Vouchers module must be on too, and for wallet top-ups the Wallets module.
  • You have Manage access to Configuration & settings. Without it, the Products page and the product dialog open read-only.
  • For gift vouchers, upload a Voucher card document on the Messages tab of Configurations > Templates (see Document template). Without it the vouchers are still issued and listed with their codes in the order confirmation email, but they get no voucher card PDF, and none is made for them later. Upload the template before you put a voucher product online.
  • Check Voucher validity (days) under the Vouchers module on the Organisation page: every voucher sold stays valid for that many days from the purchase. A product has no validity of its own.

1. Open the product dialog

Go to Configurations > Products and click the Add product button — the plus icon at the top of the page (on mobile it lives in the speed-dial). The product dialog opens full-screen with two tabs, Product and Fields. A brand-new product starts offline, with a fixed amount type and your organisation's first configured VAT rate pre-filled, so you can build it in private before publishing.

2. Set the category and name

On the Product tab, start with the Category dropdown. It offers exactly two categories, Wallets and Vouchers — these are the only categories the booking site recognises. For our example, choose Vouchers from the list.

Next, give the product a Name — type CHF 100 Gift Voucher. The name is written on the order and the receipt, and every voucher sold from this product carries it on the Vouchers page and in the confirmation email. The booking site's product card shows the Heading you set in step 5 instead. Name and Category are the only two fields go flow requires: the Save button in the toolbar stays disabled until both are filled in and you have made a change.

3. Enter the price and VAT rate

Type the Gross price — the full amount the client pays, VAT included. For the gift voucher, enter 100.

Then pick the VAT rate from the toggle beside it. The rates shown come from your organisation's configuration, displayed as percentages. Use the rate approved for this product by your business; the voucher category does not by itself determine the appropriate tax treatment.

4. Choose fixed or flexible pricing

The Amount type selector decides how the price behaves:

  • Fixed — the product always sells at the Gross price you entered. This is what we want for the CHF 100 voucher: every buyer pays exactly CHF 100, and plus and minus in the cart change the number of vouchers.
  • Flexible — the buyer chooses the amount themselves. Selecting Flexible reveals Minimum amount and Maximum amount fields, so you can set the bounds; switching back to Fixed clears them again.

Leave the gift voucher on Fixed.

A flexible gift voucher. To let buyers choose the amount, create a second product with Category Vouchers, Name Gift voucher, your amount, Amount type Flexible, Minimum amount 20 and Maximum amount 200. Each voucher sold is worth the amount the buyer chose and paid.

A flexible wallet top-up. Create a product with Category Wallets, Name Wallet Top-up, Amount type Flexible, Minimum amount 50 and Maximum amount 500.

For any flexible product, plus and minus buttons change the amount in the customer cart; there is no free-entry amount box. The minimum also sets the step, so the top-up example increases by CHF 50 up to CHF 500 and the voucher example by CHF 20 up to CHF 200. At the maximum, plus is disabled. Reducing the amount to zero removes the product. Set both bounds: the card shows the Amount range only when both are set, and without a minimum the step is 10.

Before publishing a flexible offer, check its range and each selectable amount in the customer cart. For example, a test range of CHF 10–50 offers 10, 20, 30, 40 and 50. Check the displayed total as well as the range label; a saved minimum and maximum alone do not prove the buying experience.

5. Add texts, images and tags

Below the pricing, three sections finish the presentation:

  • Texts — the multi-language wording clients read, with a Heading, Sub heading and Description per organisation language. The product card shows the Heading as its title and the Description below it, so fill in at least the heading. For the voucher, set the heading to "CHF 100 Gift Voucher" and the description to "The perfect gift — redeemable for any class or appointment."
  • Images — an image list supporting profile and session image types. The first image appears as a small picture on the product card.
  • Tags — free-form tags for grouping and searching in your list, e.g. gift. Customers do not see them.

6. Add checkout fields (optional)

Switch to the second tab, Fields, if the buyer must answer something extra when buying this product — for example how they heard about you. Tick Use field for each field you want and drag to order them. The checkout shows these fields in one form together with the fields of the sessions in the cart and of the booking template, each field once.

The answers are saved on the buyer's client record. They are not attached to the voucher or printed on the voucher card, so a recipient name or a gift message cannot travel with a voucher. While the Payments module is on, the billing address fields are always ticked. See Product details.

7. Publish and save

Switch back to the Product tab, flip the status switch at the top from Product is offline to Product is online when you are ready for clients to buy it, then click Save in the toolbar. The product now appears in the Products list — you can drag it by its handle to control the order products are shown in on the booking site.

8. Check it on the booking site

Once the dashboard has synced, open your booking site, or reload a booking page that is already open. Your CHF 100 gift voucher appears in these places:

  • the Products button (gift icon) in the top bar opens the cart with the product list;
  • an empty cart lists the voucher products first, then the wallet top-ups;
  • with sessions in the cart, the prompt Also add a gift voucher? lists the voucher products;
  • wallet top-ups are also offered in a Top up your balance window when a customer with sessions in the cart continues to checkout.

Every online product appears on all booking templates of the organisation. Check that the card shows the heading, description and price you expect, and that plus and minus behave as described in step 4.

A product is always paid online: pay at the desk is not offered for a cart that holds a product, and the dashboard cannot sell one. When the order is paid, the buyer receives the order confirmation email with each voucher's name, code and value, and the vouchers appear on the Vouchers page with the buyer as Client. A wallet top-up appears as a Top-up entry on the buyer's wallet (Wallets).

If the product does not appear

  • Check that the product is online and saved, and that the dashboard has finished syncing.
  • Reload the booking page; an open page keeps the configuration it loaded.
  • Check the modules: Payments and Products for any product, Wallets for wallet top-ups. The Products button in the top bar appears only when at least one voucher product is online.
  • If the card shows no title, fill in the Heading under Texts.

Changing or removing a product later

Changes to a product apply to purchases from then on; vouchers and wallet credit already sold keep their values. To stop selling a product, switch it to Product is offline and save. To delete it, open it and click the trash icon in the toolbar (tooltip Mark for deletion); the product is marked at once, a warning banner appears over the form and the Product and Fields tabs lock. Click Save to apply the deletion, or click the icon again or close the dialog to keep the product. What changing, retiring and deleting mean for existing orders, vouchers and wallet credit is explained under Changing or retiring a product.
