Glossary
The words of your business are often not go flow's words. Find your word in the first column: the second column gives the name go flow uses on its screens, and the third says what it means in go flow, with a link to the page that explains it. Where go flow has no equivalent, the row says so plainly.
People
| Your word | In go flow | What it means in go flow |
|---|---|---|
| Teacher, instructor, coach, trainer, therapist, stylist | Resource, often also a User | A person whom customers book, or whose calendar carries classes, is a standard resource under Configurations > Resources. If the person signs in to the dashboard, they are also a user. A dated session sits on one calendar only, and go flow has no field that names a teacher on a class. See Resources. |
| Staff member, employee, colleague | User | A login to the dashboard, with rights per area. See Users. |
| Front desk, reception | User | There is no separate desk role: give the desk staff the rights they need, usually Clients: Manage. Unpaid places show Take payment in the participant list. See Invite your team and assign roles. |
| Customer, client, guest, member, participant | Client | The person who books. The dashboard says Client; this help says "customer" when it describes the booking site. Both are the same person, who signs in on the booking site with a one-time code. See Clients. |
| Member tier, membership level | Group membership field | A client field with options, chosen as Group membership field in the organisation's attributes. Its options are the client groups. See Session visibility & bookability. |
| Member group, customer segment | Client group | One option of the group membership field, set on the client record by staff. Keep the field's Self managed off, or clients can choose their own group. Client groups decide who may book Restricted sessions, who gets early access, and who gets promotions limited to groups. See Session visibility & bookability and Promotions. |
Places and offers
| Your word | In go flow | What it means in go flow |
|---|---|---|
| Studio, shop, location, branch | Organisation | One business location with its own settings, modules and offers. Several locations can belong to one group. See Organisation and All organisations. |
| Room, hall, court, equipment | Resource | Anything with its own calendar is a standard resource. A room that only carries classes needs no availability. See Resources. |
| Class, course, lesson, workshop, event | Session | A scheduled activity with places. go flow has no separate event or ticket type: an event is a session with its own name, price and places; in the Scheduler it stands out by its name and any visibility badge (Private, Hidden, Restricted). The reusable definition is a session on the Sessions tab of Configurations > Resources; each dated occurrence is a session in the Scheduler. See Schedule appointments and generate sessions. |
| Course of several dates booked as one | No equivalent | Each dated session is booked on its own. A customer can put several dates into one cart and pay once. |
| Level, entry requirement | No equivalent | A session has no level and no entry requirement that go flow checks. Create one session definition per level, for example Beginner surf, and state what participants need in its Texts, which the booking site shows in the session's details. To let only clients you have approved book a session, make it Restricted to a client group; a required declaration is a field on the session's Fields tab. See Session visibility & bookability and Template fields. |
| Timetable, class plan, schedule | Scheduler | The calendar of dated sessions and appointments. A week of sessions is generated from the session definitions and then activated. See Plan the weekly timetable. |
| Service, treatment, private lesson, consultation | Treatment | Something a customer books with one resource at a free time, with its own duration and price, assigned to the resources that deliver it. See Treatments. |
| "Any available teacher" | Aggregator | One listing that pools several standard resources; the customer books whichever is free. See Resources. |
| Booking page, booking link, online shop | Booking template | One public booking page with its own address (Slug), offers, questions, texts and look. See Set up online booking. |
| Question, intake form, declaration, waiver, terms | Field | Defined once on the Fields tab of Configurations > Templates, then selected on each template, treatment, session or product that asks it. Consent and process fields record signed declarations. See Template fields. |
| Confirmation email, reminder | Email template | One per automatic message, with text per language. Which messages a session or treatment sends is switched in its resource's editor. See Message templates. |
Bookings and places
| Your word | In go flow | What it means in go flow |
|---|---|---|
| Appointment, one-to-one booking | Appointment | Any entry in the Scheduler. A one-to-one booking is an appointment for a treatment with one resource. See Scheduler. |
| Class date, occurrence | Session (dated) | One occurrence of a session definition in the Scheduler, with its own places, visibility and participants. See Edit a session. |
| Slot, time slot | Slot | A bookable time on the booking site: a dated session with free places, or a free time for a treatment. A session definition's Slot duration (minutes) and Slot capacity set the length and places of its sessions. |
| Booking, reservation, place | Participant | A client's place in a dated session, shown in the session's participant list. See Session participants. |
| Hold during checkout | Reservation timeout | Places in a customer's cart are held for this many minutes, a booking template attribute (default 5). After that they are released. Once the customer goes to the payment page, the places stay held for the payment until it ends, for at most 40 minutes. See Online booking checkout. |
| Hold places for a group or company | Hold places | Staff keep places in a session free for a client or an email address until a chosen time. See Session participants. |
| Waiting list | Waitlist | With the Waitlist module and Waitlist enabled on a session definition, customers queue for a full session. When a place frees up, the next customer is offered it and has the template's Waitlist promotion timeout (min) to take it (default 15). See Resource details. |
| Draft class, not yet published | Planned | A generated session that customers cannot see or book. The tick on the session or Activate all makes it Active. See Scheduler. |
| Published, live | Active, Online | A dated session is Active once activated. Resources, treatments, products and promotions are shown to customers only while Online. See Get ready to take bookings. |
| Open to everyone | Public | A dated session listed for everyone, bookable according to its bookability. See Session visibility & bookability. |
| Internal, staff only | Hidden | A dated session never listed on the booking site. |
| Private, by arrangement | Private | Listed as a neutral locked card; customers to whom you give the session's link or QR code can book it. |
| Members only | Restricted | Bookable only by clients in the chosen groups; other customers see a locked "members only" card. |
| No-show | Mark no-show | After a session has started, staff mark a participant who did not come. This cannot be undone. See Session participants. |
| Check-in, arrival, attendance | No equivalent | go flow does not record arrivals. The participant list shows payment state and declarations, and Mark no-show records an absence. See Session participants. |
Money
| Your word | In go flow | What it means in go flow |
|---|---|---|
| Order, sale, receipt | Order | Created for each purchase, with its items and a receipt document; a refund adds a credit note. A booking paid at the desk creates an unpaid order for each participant, which the desk settles. See Orders. |
| Payment, card payment, transaction | Payment | One payment through the payment provider, linked to its order. See Payments. |
| Pay at the desk, pay on arrival | Allow paying at the desk, Take payment | Customers confirm a session or appointment booking without paying online; the desk records the payment later. See Review orders and payments. |
| Credit, prepaid balance, account credit | Wallet | Prepaid credit in money, kept per client. Topped up with a Wallets product, credited by refunds and redeemed vouchers, spent at checkout. See Wallets. |
| Voucher, gift card, gift voucher | Voucher | A code with a value, sold on the booking site as a Vouchers product at a fixed price or at an amount the customer chooses, or issued by staff. Used at checkout or moved into the client's wallet. See Vouchers. |
| Class card, punch card, multi-class pass | No equivalent | go flow has no product that counts visits. The nearest is prepaid credit in money: a wallet top-up or a voucher that covers the classes. See What products cannot be. |
| Membership, season pass, recurring plan | No equivalent | go flow sells no memberships or recurring plans. A member tier can be recorded with the group membership field (see People); member prices and early access are promotions limited to client groups. See What products cannot be. The Subscription page in go flow is your own account's subscription to go flow, see Subscription. |
| Discount, promo code, banner | Promotion | Banners, discount codes and pricing rules under Configurations > Promotions. See Promotions and Run a promotion or discount code. |
| Early-bird price | Early-bird | A pricing rule that lowers the price when a session is booked a set number of days before it starts; several tiers can step the price up as the start comes closer. See Promotions. |
| Last-minute price | Last-minute | The mirror of early-bird: a pricing rule that lowers the price when a session is booked within a set number of hours before it starts. See Promotions. |
| Presale for members, early access | Early access | Client groups that may book a session a set time before it opens to everyone. Not a price: it changes when booking opens, not what it costs. See Session visibility & bookability. |
| Refund | Cancel dialogs | Staff refund a paid place when they cancel it or the whole session. See Cancel or refund. |
