Email Template

This full-screen dialog is where you customise one automated email — its branding, its subject, and the text of each content block — before it goes out to clients.

Branding

Three dropdowns at the top choose which branding blocks the email uses: Header, Signature and Footer. Signature can be set to None; header and footer are picked from the templates you've built on the Templates page's Branding tab. A new template starts with your organisation's default blocks preselected.

Subject and Content

A row of language tabs lets you edit each language's version separately — a tab shows a warning icon when that language is missing required content. For each language you set the Subject line and fill in the email's content blocks, shown on the left as a stack of labelled fields (an intro, a details table, buttons, and so on, depending on the email type). Some blocks contain placeholders like that must stay in the text — the field shows a warning if a required placeholder is missing. You can also pick per-language Attachments from your PDF documents.

The Ad-hoc email template is a special case: since its subject and message are written at send time, this dialog only lets you set its header, signature and footer — there are no language tabs, subject field or content blocks.

Preview

A live preview on the right renders the compiled email with sample data standing in for the placeholders, updating as you type (not shown for the Ad-hoc email template).

Saving

The save button is enabled once you've made a change and at least one language has a subject and no missing placeholders (ad-hoc templates can always be saved). Closing the dialog while it has savable changes asks you to confirm discarding them first. Without the configuration-write permission the dialog is read-only and the save button is hidden. If the template's stored content no longer fits the current layout, you're notified that the format was updated; in some cases your existing content no longer fits at all and is replaced outright by the default text — review it before saving.
