Document template

This full-screen dialog is where you upload the actual DOCX or PDF file behind one document template. It is opened from the Messages tab of the Templates page.

Fixed documents vs. custom documents

The dialog covers two kinds of documents:

  • Fixed DOCX documents — built-in document types. These cannot be renamed or deleted; the dialog title shows their document type.
  • Custom PDF documents — added with Add document on the Templates page. These have an editable Name field (up to 50 characters), and the title bar shows that name.

Language tabs

A tab appears for each of your organisation's languages. Each language holds its own uploaded file, so you can provide a different document per language.

Uploading and downloading

For the selected language, use Upload to choose a file from your computer (DOCX documents accept .docx, PDF documents accept .pdf). Once uploaded, the file appears as a chip showing its name; click the x on the chip to remove it for that language. Use Download to save the currently uploaded file — it stays disabled until a file exists for that language.

Deleting a custom document

For custom PDF documents (not fixed DOCX types), a delete button appears in the toolbar. Click it to mark the document for deletion — the body of the dialog dims and shows a "marked for deletion" banner. Save while it is marked to remove the document; click the button again to unmark it.

Saving

Save stays disabled until something has actually changed, and — for custom PDF documents — a name is filled in and at least one language has an uploaded file. Closing the dialog while there are unsaved changes asks you to confirm before discarding them.

Configuration-write permission

The help button, the delete button, and the Save button all require configuration-write permission. Without it, none of these toolbar controls appear and the dialog is effectively read-only.
