Analytics

Analytics > Overview shows how full your sessions and appointments were and what they brought in, as tables you can sort, filter and export. Use it to review utilisation per month and resource. For the weeks ahead, use the Occupancy heatmap in the Scheduler instead.

Overview

You need the Analytics right (view only) in your user rights. The page loads its figures live from the server, so it needs an online connection: offline it shows "You need to be online to view statistics!" and loads again by itself once the connection returns.

Choosing the Period

Two month pickers set the period, in whole months:

  • Start date — the first month of the period.
  • End date — the last month. This is the month the dashboard shares with Payments, Orders, Wallets, Journal and Emails: changing it here changes it there too, and the other way round.

You can choose months from January five years back up to the current month, not later. The start cannot lie after the end; moving the end before the start moves the start with it. The page opens on a one-month period. Changing the period clears the column filters and the search.

With one month, the Bookings table lists individual bookings. With two or more months, its rows are totals per resource and month.

What the Figures Include

  • Only active bookings in active sessions and appointments count. Cancelled bookings, no-shows, places still reserved or held, waitlisted clients and cancelled sessions are left out.
  • A session or appointment without any active booking does not appear at all, and its places are not part of Capacity.
  • The current month includes sessions later in the month, with the bookings made so far.
  • Booking revenue counts paid orders only: a place booked to pay at the desk counts once the desk payment is recorded. It is dated by the session or appointment, not by the payment. Product sales are dated by their order.

The Bookings and Revenue Tabs

When the Payments module is enabled, the page has two tabs, Bookings and Revenue; without it, only the bookings table is shown, without a Revenue column.

Revenue

The revenue table lists Date, Source (appointment for bookings, product for product sales), Name (the resource and session name, or the product), Quantity and Amount. With one month each row is one booking or one product line; with two or more months the rows are monthly totals.

Reading Utilisation

Utilisation is Actual divided by Capacity. Choose two or more months to get one row per resource and month: Actual 90 against Capacity 120 means 75% of the offered places were booked.

  • In the one-month view, do not add up Capacity: it repeats on every booking of a session. Compare Actual per session there, or switch to two months.
  • Empty sessions are missing from the figures. If 10 sessions ran in a month and 2 had no booking, Capacity covers only 8 of them — compare with the number of sessions in the scheduler before you draw conclusions.
  • A smaller offer raises the percentage without a single extra booking: removing six empty places turns 18 of 36 (50%) into 18 of 30 (60%). Look at Actual as well as the percentage.
  • A full session shows that its places were taken, not how many more people wanted one; the Waitlisted only button in the scheduler shows where clients queued.
  • The page has no comparison by weekday, time of day or level. Export a one-month table and sort or group it in your spreadsheet: each row carries the session's start and its resource and session name.

How clients rated their sessions is shown on Feedback insights.

Filtering, Search and Sorting

Click a column header to sort by it. Some headers also carry a filter: on the bookings table Resource (and Status in the one-month view), on the revenue table Source and Name. The Find entry field filters the visible rows as you type. Switching tabs clears the header filters; changing the period clears the filters and the search.

Excel Export

The Export to Excel button downloads the tab you are looking at as a CSV file that Excel opens, named "Analytics" with the date and time. It contains the rows left by the header filters, not those of the Find entry search. Dates are exported as they are stored, in UTC (for example 2026-03-05T17:00:00Z), not in your local time. The button is disabled when the table is empty.
