Resources

Resources are the bookable units of your organisation. Open them under Configurations > Resources. Depending on which modules are enabled for you, the page shows up to three tabs:

  • Sessions — reusable session formats with a slot length, capacity and price, such as a class or a course (requires the Sessions module).
  • Resources — standard resources: a person, a room or a piece of equipment with its own calendar.
  • Aggregators — entries that bundle several standard resources behind a single bookable listing (requires the Aggregate resources module).

Each tab has its own list. Click a row's eye icon to open the item in Resource details.

A session on the Sessions tab is the reusable format, for example "Beginner surf, 90 minutes, 8 places". The dated occurrences that customers book are created from it in Scheduler; see Schedule appointments and generate sessions.

Rights. Viewing the page needs View for Configuration & settings. Creating, changing, cloning, reordering or deleting resources needs Manage for Configuration & settings; with View only, the editor opens read-only and the toolbar shows only the export. A Manage right on an individual resource does not unlock this page. See Users.

Choose the resource type for your business

Start with what the customer reserves. One business can use more than one resource type.

Your business and customer choiceUseWhy and what to configure next
A hairdresser: “Book a haircut with Elena.”ResourcesElena is a standard resource with her own calendar. Create the haircut as a treatment, assign it to Elena and set her availability. The customer chooses the person, service and an available time.
A salon: “Book a haircut with any available stylist.”AggregatorCreate the stylists as standard resources first, then select them as members of one customer-facing listing. Configure its treatments and member priority. The offer pools existing resources; it does not create another stylist or extra capacity.
A surf venue: “Book two places in Friday’s beginner session.”Session, linked to a standard resourceCreate the wave as a standard calendar resource and Beginner surf as the reusable session. Select the wave in Dependencies, then generate and activate dated sessions. Customers reserve places in a particular occurrence.
A consultation practice: “Book a 30-minute consultation with this practitioner.”Resources plus a treatmentThe practitioner supplies availability and the treatment supplies the service and duration. Configure physical/video delivery only where applicable. Use an aggregator if the customer may accept any suitable practitioner.
A workshop: “Book one place in the scheduled pottery class.”Session, linked to its calendar resourceThe session supplies the starting duration, capacity and price. The scheduled occurrence represents the actual class date and places.
A yoga studio: “Book a place in Tuesday’s 18:00 Vinyasa class in Studio 1.”Session for the class format, a standard resource for the roomCreate Studio 1 as a standard resource and Vinyasa Flow as a session with Studio 1 under Dependencies, then generate the week’s classes on Studio 1’s calendar. The class format supplies length, places and price; the room is the calendar the classes sit in. The teacher is not part of the class record — see What go flow checks, and what it does not.
The same studio: “Book a private lesson with Mara.”Resources plus a treatmentMara is a standard resource with her own availability and a “Private lesson” treatment. Her one-to-one bookings and the studio’s classes are separate calendars.
The same studio: “Book a private lesson with whichever teacher is free.”Aggregator over the teachersCreate each teacher as a standard resource with the treatment and availability, then bundle them in one aggregator. The customer gets the next free teacher by your Prio order.

For equipment or rooms, ask the same question: does the customer reserve time on a particular asset, accept any suitable member of a pool, or buy a place in a scheduled activity? The name of your industry alone does not decide the resource type.

A standard resource used only as the physical calendar for sessions does not need a treatment or weekly availability to support those generated sessions. A standard resource offered directly for individual appointments does need its treatments and availability. An aggregator has member resources instead of its own Availability tab. A session has neither treatments nor a weekly availability timetable: create its dated occurrences in Scheduler.

Continue with Create a resource, Create a treatment or Schedule appointments and generate sessions. Use Resource details to understand each setting’s effect before changing it.

What must be in place before customers can book

A resource that is saved is not yet bookable. The booking site lists it only when every condition in its row is met.

What customers bookConditions on the booking site
An appointment with a standard resourceThe resource is online. At least one treatment is ticked on its Treatments tab and that treatment is online. At least one availability rule is long enough for the treatment’s duration; without that, the resource is not listed for the treatment. A booking template includes the resource on its Resources tab, and that template’s Booking UI mode is Session picker — in the other modes customers see only sessions.
An appointment through an aggregatorThe aggregator is online, has treatments ticked and is included in a Session picker template. The aggregator has no times of its own: it offers a treatment when at least one of its members is online, has that treatment and has availability for it, and the times offered are those members’ free times. The booking is made on the member whose time the client picks. Each online member is also listed on its own, so a customer can choose that person or the aggregator.
A place in a dated sessionThe session is online and has a calendar resource under Dependencies. Its dated sessions are generated and activated in Scheduler, their visibility and opening date allow booking, and they lie within the session’s Reservations possible horizon. A booking template includes the session.

A booking template whose Resources tab had every resource ticked when it was saved also includes resources you add later. A template with a partial selection does not: tick the new resource there. See Edit a booking template.

After a change, open the booking site in a private browser window and follow the customer route to the new item. If it is missing, work through its row above.

What go flow checks, and what it does not

go flow keeps one calendar per resource. It does not plan people, rooms and changeovers together. Plan those outside go flow and use the calendars to record the result.

  • No teacher on a class. A dated session belongs to exactly one calendar resource: the one it was generated on. There is no separate teacher or room field on a class. If you use a teacher’s standard resource as the calendar instead of the room, the class shows in that teacher’s calendar, but the room is then not recorded.
  • Dependencies is a Scheduler link only. On a session, Dependencies tells Scheduler on which calendars the session may be generated. It does not make a class need two resources at once: with two of its calendars selected, Generate creates a separate dated session on each. The booking site does not read it. On a standard resource the field has no effect.
  • Overlaps. Generate skips a time where another session already overlaps on the same calendar, without listing what it skipped. It does not check individual appointments, other calendars or travel and changeover time.
  • What is checked. On a standard resource, every active appointment counts towards Parallel appointments — an active dated session on its calendar too. With the default of 1, an active class in Studio 1 removes the overlapping start times of any treatment booked directly on Studio 1. Individual appointments do not block generating or booking a session.
  • Out-of-office. An absence removes the resource’s own appointment times. Sessions on its calendar stay bookable, and existing bookings stay in place.
  • Staff emails. Notify resource of bookings works for appointments on a standard resource. No staff member is emailed about session bookings.

The lists

Every list shows an avatar in the item's colour, the Name, a read-only Online checkbox and Tags as chips. In addition:

  • the Resources tab shows the Appointment types scope, the Languages and the Out-of-office period while an absence is switched on and has not ended;
  • the Sessions tab shows the Slot duration (minutes), Min capacity, Slot capacity and Dependencies;
  • the Aggregators tab shows the Appointment types scope.

The Appointment types column only appears on the Resources and Aggregators tabs when you can actually offer video appointments (the Video module switched on with complete video credentials), or when at least one of your resources — on any tab, whether or not the search currently shows it — already has a video appointment type; otherwise every item would read "Physical" and the column is hidden.

The columns are read-only. To change settings, open the item's editor: the VAT rate and similar settings live in its Attributes table (shown when VAT rates are configured for your organisation and the Payments module is enabled), and a standard resource's working hours and availability live on the editor's Availability tab. On the Availability tab, the video appointment-type options are offered when you can offer video appointments, and on any single row that already carries a saved video type — so that row keeps its video type even if video is later switched off.

Toolbar actions

  • Search — the search field (placeholder Find resource, or Find session on the Sessions tab) filters the list by name. The search splits on spaces and matches every word.
  • Export to Excel — tick one or more rows, then click the Excel button to export the selection to a spreadsheet. The button is enabled only when at least one row is selected.
  • Take selected resources offline / Set selected resources online — change the online status of all ticked rows at once. A confirmation dialog lists the affected items before anything changes. On the Sessions tab the actions are labelled Take selected sessions offline / Set selected sessions online. What going offline changes is described in Take a resource offline or delete it.
  • Clone selected resource (or Clone selected session) — enabled when exactly one row is ticked. It opens the editor with a copy: its attributes, availability, treatments, dependencies, texts and images. The copy starts offline, without slug, Exchange connection or out-of-office period. Title and first name are cleared and "[cloned]" is added to the last name (or session name) and to each text; adjust them before saving it as a new entry. The copy uses the same stored image files as the original: do not remove or replace those images in the copy, because that deletes the file the original still shows. If the copy needs different images, create it with Add instead.

On the desktop toolbar all actions except the export are hidden for read-only users. On mobile, the actions are grouped into a single speed-dial behind the plus button.

Adding a resource

The plus button (Add) does not create a resource directly — it opens a small menu asking which type to create: Resources (a standard resource), Aggregator (with the Aggregate resources module) or Session (with the Sessions module). Choosing a type opens the editor with a new item. On mobile, the speed-dial's plus button creates the type of the tab you are on.

Group organisations also see Link existing. In the current version it opens a confirmation without any resources to choose and links nothing; create the resource in this organisation instead.

Drag-and-drop ordering

Reorder rows by dragging them. The order is saved immediately and sets the order in which standard resources and aggregators are listed on the booking site’s Session picker. When the list reloads, it is sorted by last name (sessions by name) again; the saved order is not shown here.

Before you retire a resource: where it is used

go flow has no list of everything that refers to a resource. Check these places before you take one offline or delete it:

Where a resource is usedWhere to check
Upcoming appointments and dated sessions on its calendarScheduler, with the resource selected, over the coming weeks
Sessions that use it as their calendarResources > Sessions, the Dependencies column
Aggregators that bundle itEach aggregator's Resources tab
Booking templates that offer itEach template's Resources tab
Promotions and feedback forms limited to a sessionThe scope of each promotion (Promotions) and feedback form (Feedback forms)

Take a resource offline or delete it

Going offline is reversible; deleting is not. Neither cancels, moves or refunds anything.

Booking siteNot listed. A standard resource or aggregator member offers no new times. A session's public dated sessions disappear from the calendar; private and members-only ones may still appear as neutral locked cards. The same as offline.

A session's own dated sessionsStay in Scheduler on their calendar; existing participants keep their places. The same; the session can no longer be generated.
Existing bookingsStay valid. Confirmations already sent, reminders and the client's profile are unchanged.Stay valid and keep their reminders. Bookings on a deleted standard resource can no longer be found in Scheduler.

DashboardStays in the list and in Scheduler; you can switch it online again.Removed from this list, from Scheduler and from every picker.

Before deleting a resource that still has future bookings, move or cancel them in Scheduler — see Cancel or refund. To pause a resource, take it offline instead.

To delete, open an existing item's editor and click the delete icon (tooltip Mark for deletion) in the toolbar. No confirmation is asked: the editor shows the notice "Marked for deletion — this item will be deleted when you save. Close or press Esc to cancel the deletion.", its tabs are disabled, and the item is deleted only when you save. Click the icon again, close the editor or press Esc to cancel before saving.
