Email header
The header is the strip at the top of your emails: your organisation logo or a banner image on a background colour. You create and edit headers on Configurations > Templates, tab Branding: click + and choose Header for a new one, or open an existing row with its eye icon or a double-click. The dialog's title bar reads Header template.
Changing a header needs Configuration & settings at Manage in your user rights. Without it the dialog opens read-only and its toolbar (help, delete and save) is hidden.
How a header reaches your emails
go flow adds the header, the signature and the footer to an email at the moment it sends it; they are not stored inside your email templates. Each email carries the header chosen in its email template's Header field (see Email template). If that field is none, or the chosen header has since been deleted, the email goes out without a header: go flow does not substitute your default header or a header of its own.
What this means for you:
- When you save a change to a header, every email that uses it carries the new version from then on — including messages already waiting to go out, such as tomorrow's reminders. You do not need to open or save your email templates again.
- Emails already sent keep the header they were sent with.
- The header goes on emails only: not on SMS, not on receipts or voucher cards (those have their own design, see Document template), and not on go flow's own account emails such as password resets.
- The same header appears in every language.
- The Emails page shows only the body of each message, without header, signature and footer.
Default header
The Default column on the Branding tab marks your organisation's default header with a star. To make another header the default, click Set as default on its row; this takes effect at once, without a further save. Each organisation has one default header, one default footer and one default signature; if you run several organisations, each has its own blocks and defaults.
- The default only preselects. When you open an email template your organisation has never saved, its Header field starts with the default header, and saving the template stores that choice. Sending an email never uses the default.
- A saved email template keeps the header it names, or none, when you later make a different header the default. A template saved without a header has none selected and sends without one until you choose a header there.
- A new organisation starts with a header, a footer and a signature copied from go flow's standard set, already marked as defaults. If no header row shows a star, your organisation has no default header.
- To change the look of all your emails, edit the header you already use rather than creating a new one. If you do switch to another header, open each email template on the Messages tab and choose it in its Header field; making it the default reaches only templates not yet saved.
- A default cannot be cleared, only replaced.
Name
Name identifies the header in the Branding list and in the Header field of email templates. It is required and takes up to 50 characters.
Logo or Banner
Choose Logo or Banner.
- Logo shows your organisation logo, which you upload under Configurations > Organisation, tab Profile, in Images (see Organisation settings). Choose its alignment: Left, Center or Right. The logo is shown 60 pixels high. If your organisation has no logo, the preview reads No organisation logo and emails go out without a header.
- Banner shows an image you upload here. Click Upload banner image (Replace banner image once one is set), pick an image file, adjust the crop to the fixed wide format — six times as wide as it is high — and save the crop. The cropped image is scaled to at most 600 pixels wide and fills the width of the email. Saving the crop uploads the image, which needs a connection; if the upload fails, go flow shows "The banner image could not be uploaded. The header keeps its current image." and the header keeps its current banner. Remove takes the banner off the header. A replaced or removed banner is deleted only when you save the header; closing the dialog without saving keeps it. Until a banner is uploaded, emails go out without a header.
For choosing and preparing images, see Add images and promotional video.
Header background
The colour swatch next to Header background opens a colour picker for the strip behind the logo or banner. The default is white.
Preview
The preview shows the header at the 600-pixel width of an email, with your current choices, before you save.
Images in sent emails
By default go flow does not attach header images to the email: the recipient's email program loads them from go flow's file storage when the email is opened. Some email programs show such images only after the recipient allows them. It also means that deleting an image file removes it from emails sent earlier.
- Replacing or removing the organisation logo leaves a header in Logo mode pointing to the logo file it was saved with, and that file is deleted with the old logo. Open each Logo header and click Save: saving always takes the organisation's current logo, and Save is enabled on such a header even without another change. Until you do, your emails show a broken image in the header.
Saving and deleting
Save (the disk icon) stays disabled until you have changed something and the header has a name; on a Logo header whose saved logo is no longer the organisation's current logo it is enabled straight away (see Images in sent emails). Closing the dialog with the X or Esc asks before discarding unsaved changes; the header then keeps its banner, and a banner uploaded in that edit is deleted.
To delete a saved header, click Mark for deletion (the trash icon). The icon turns into a filled, warning-coloured trash can, the form is locked, and a banner reads "Marked for deletion — this item will be deleted when you save. Close or press Esc to cancel the deletion." Click Save to delete the header together with its banner image; click the icon again, or close the dialog, to cancel. Emails whose template chose this header then go out without a header until you choose another one in those templates.
